SEND Wellbeing is committed to protecting user data and complying with GDPR.
1. Data Collected
- school name
- staff names + school emails
- usage data (which tools are opened and for how long)
- anonymised wellbeing insights
- staff reflections, check-ins and survey responses you choose to save
No pupil-identifiable data collected.
2. Device and Technical Identifiers
To keep you signed in, keep the app secure and keep it working reliably, the app and its hosting provider process technical identifiers. These are transmitted off your device:
- device, app instance and session identifiers
- authentication tokens stored on your device
- IP address, browser/OS version and general device type
- crash and error diagnostics
These identifiers are used only for authentication, security, fraud and abuse prevention, and app stability. They are not used for advertising, ad targeting or cross-app tracking, and we do not collect an advertising ID.

5. Storage and Retention
Data is held on UK/EU servers. Account and school data is retained for as long as the school holds an active subscription, and is deleted on request or within 90 days of an account being closed. You can request export or deletion of your data at any time from your Profile page.
6. Third Parties and Data Sharing
We never sell personal data and we do not share it for advertising. We do use a small number of service providers (processors) who handle data strictly on our instructions in order to run the app:
- Base44 — app hosting, database, and secure sign-in
- Resend — sending account and reminder emails
- ElevenLabs — generating the spoken audio used in guided tools
- Base44 Payments (Wix) — processing school subscription payments
- AI processing — generating anonymised wellbeing summaries and insights
Each provider receives only the minimum data needed for its function. Device and session identifiers described in section 2 are processed by our hosting provider for authentication and security purposes.
